One of the largest media organisations in the world is looking for an experienced Programme Administrator to join their exciting and busy team based in London. As the Programme Administrator you will have the responsibility for providing administrative support to the Programme
Manager, ensuring the timely, high-quality and effective delivery of these functions, with a view to ensure the efficient
administration and delivery of the Programme. The successful Programme Administrator will contribute to the
achievement of the deliverables, performance targets, aims and objectives of the Programme Management Team.

Role and Responsibilities
As the Programme Administrator, your responsibilities will include:
• To provide logistical support to the Programme including: arranging meetings, agendas, booking meeting rooms, resources, refreshments, costings and booking travel arrangements where required.
• Providing such other administrative and office support as may be required from time to time.
• Drafting of letters, electronic communications, minute-taking, setting up and maintaining excel.
• Carry out any other duties which are reasonably deemed to be consistent with the demands and responsibilities of this role.
• Consolidating returns and reports as required.
• To provide administrative support, including; answering phones, distributing post, word processing, preparation of PowerPoint presentations, highlight reports.
• Maintaining the highest standard of professional conduct at all times with clients and colleagues spreadsheets, data input into databases, file management (including SharePoint), diary management, photocopying, faxing, expense processing and any other related duty.
• Acting as point of contact when Programme Manager or Director is not available.
• Providing comprehensive and efficient administrative support services to the Programme and specifically the Programme Management Team.
• To record, filter, disseminate all communications relating to the Programme.
• Organising meetings on behalf of the Programme Management Team and to attend these meetings where required to record minutes, manage administration and assist with reports.

As the Programme Administrator, you will be working alongside:

• Programme Management Team
• Programme Director
• Programme Manager
• Business & Commercial Director
• Biblio Project Manager

Skill Set
As the Programme Administrator, your skills will include:

• Strong relationship building skills.
• Excellent verbal and written communication skills, plus the ability to effectively network.
• Good knowledge of SharePoint.
• Familiar with standard project / programme management tools, including but not limited to MS Word, Outlook, Excel, Project and Visio.
• Ability to write coherent and succinct status/ progress reports and minutes.
• Excellent organisational skills with the ability to prioritise and proactively manage workloads.
• Proven ability to support the management and successful delivery of a range of projects in terms of size and content.
• Ability to Influence, facilitate and resolve in a complex environment in both supported and independent situations.
• Familiar with standard project/programme management concepts and processes.
• Open minded and able to challenge existing processes.
